Position Overview

Collectors is recruiting a Workplace/Reception Assistant to support the Workplace team and reception operations at the newly established PSA Japan office. This position primarily focuses on reception duties and general administrative support related to workplace operations. You will work in coordination with a small, dedicated team to serve over 230 employees and handle visitor and guest interactions. This is a key position that provides a professional and comfortable reception experience through visitor reception, phone support, and mail management.

Work location: Office within Tokyo Ryutsu Center (TRC) in Heiwa-jima, Ota Ward, Tokyo.

Shift-based work (including weekends and holidays).

What You'll Do

  • Greet and check in visitors, provide check-in/check-out support, issue badges using the Envoy reception system, and notify hosts promptly
  • Maintain organization and restock supplies in the reception area, break rooms, conference rooms, and supply stations
  • Receive, sort, and distribute mail to relevant staff members
  • Order office supplies based on budget and brand standards
  • Handle workplace and facility-related service tickets (Jira)
  • Provide on-site support for executive assistants and executives, including conference room reservations, desk and office arrangements, and catering arrangements as needed
  • Manage vendor building access and ensure compliance with security protocols
  • Support internal events
  • Perform various administrative and general office duties that support daily operations
  • Receive and hand over customer submissions
  • Support special projects of the Workplace team
  • Coordinate with cleaning vendors to address cleaning requests and resolve issues

Who You Are

  • Strong customer service skills with a white-glove level of service mindset
  • Detail-oriented, professional, and team-oriented
  • Ability to handle multiple tasks simultaneously in a fast-paced environment
  • Excellent administrative skills, organizational abilities, and analytical skills
  • High-level communication skills in Japanese (both verbal and written); everyday conversational English is welcome
  • Ability to prioritize and make decisions
  • Basic proficiency with Google Docs, Sheets, and Slides is a plus
  • A proactive, hands-on team player who enjoys a collaborative environment and has a strong desire to learn
  • Ability to proactively identify issues and improvement opportunities, prevent problems before they occur, and drive operational improvements. You actively embrace new knowledge and ideas, positively accept constructive feedback, and contribute to continuous growth and team success.
